Compliance Training & LMS — Mandate Plans
Mandates PS-008 through PS-012: training automation, Docebo implementation, and learning administration.
PS-008: Auto-Launch Compliance Training
What this actually involves
Compliance training is required by state and federal law. When someone is hired, certain trainings must auto-launch based on their role, state, and hire date. Currently this is manual:
- Nickole determines which trainings apply (state-specific rules: CA, WA, CO, SF each have different requirements)
- Nickole manually adds the user to Wisetail (72-hour feed delay from Paylocity forces manual override on Day 1)
- Paylocity auto-assigns some trainings (sexual harassment) with the onboarding launch
- Vanta handles digital security training (unclear if auto or manual)
- Annual refreshes are also manual
Who does this today
- Nickole — primary admin for LMS enrollment and compliance training assignment
- Paylocity — auto-triggers some training with onboarding launch
Concrete tasks
- Get the full compliance training matrix: which trainings are required for which states, roles, and cadences (annual, new-hire, etc.)
- Document Nickole's manual enrollment process step by step
- Understand the Paylocity auto-assignment: what does it cover and what gaps remain?
- Map the Docebo auto-launch capability: can Docebo trigger enrollment based on HRIS data (role, state, hire date)?
- Design the auto-launch agent spec: state + role + hire date input, training assignment output
People to meet
| Person | Questions to ask |
|---|---|
| Nickole | Which trainings auto-launch in Paylocity and which do you assign manually? Where's the matrix of state-by-state requirements? How many new hires per month do you enroll? What's the Docebo plan for this? |
| Shlanda | Are there compliance trainings beyond anti-harassment and safety? How does the twice-yearly anti-harassment audit work (mid-year and December)? |
PS-009: Track Compliance Training Completion
What this actually involves
Completion data is fragmented across 4 systems with no unified view:
| System | What it tracks | Reporting quality |
|---|---|---|
| Wisetail/Color Connect | HCB field training, state-mandated courses | Good per-course reporting |
| Paylocity | Sexual harassment, onboarding compliance | Good enrollment + due-date notifications |
| Vanta | Digital security (annual) | Poor reporting, weak notifications |
| Zoom / in-person | Facilitated L&D sessions | Manual attendance in Google Sheets |
No dashboard shows "Employee X has completed all required training" across all systems.
Concrete tasks
- Query each system for a single employee's training status. Document how long it takes and what you learn.
- Identify the minimum viable dashboard: what does Shlanda actually need to see? Is it completion rates by state, by department, by training type?
- Design the unified reporting agent: pull completion data from each system, flag overdue, produce the monthly dashboard for People leadership.
People to meet
| Person | Questions to ask |
|---|---|
| Nickole | How do you currently answer "is everyone compliant?" What reports do you pull and from where? How often do you catch someone who's overdue? |
| Shlanda | What does the compliance training dashboard look like in your head? What would you check every week? |
PS-010: Manage Learner Enrollment in Wisetail / Docebo
What this actually involves
Currently: Nickole manually adds users to Wisetail (the HCB training platform) using name, ID, and start date. The Paylocity-to-Wisetail feed has a 72-hour delay plus a 24-hour refresh window, so manual adds are required on Day 1 for I-9 compliance training.
Docebo decision timeline:
- Decision due end of August 2026 (August 6 tech stack meeting using DAISY accountability matrix)
- Implementation start: September-October 2026
- Go-live target: end of Q1 2027 or beginning of Q2 2027
- Docebo has MCP connectors and native integrations (Slack, Claude, Zoom)
- Blocker: HCB training lead not yet on board with Docebo; may require running two LMS systems (Wisetail for retail floor, Docebo for HQ/admin)
Concrete tasks
- Understand the current Wisetail enrollment process from Nickole's perspective
- Attend or review the August 6 tech stack decision meeting outcome for LMS direction
- If Docebo is selected: get sandbox access, explore the admin configuration, test the HRIS integration for auto-enrollment
- Assess the two-LMS scenario: if Wisetail stays for HCB, what does enrollment automation look like across both?
People to meet
| Person | Questions to ask |
|---|---|
| Nickole | How many enrollments per month? What information do you need that's not in Paylocity? Has anyone tested Docebo's auto-enrollment from HRIS? |
| Shlanda | What's the HCB training lead's concern with Docebo? Is the two-LMS scenario a real possibility? |
PS-011: Produce Monthly LMS Dashboards
What this actually involves
Currently no unified dashboard exists. Nickole pulls reports from each system separately.
Concrete tasks
- Document what Shlanda and Nickole currently look at for training status (even if it's ad hoc)
- Design the minimum viable dashboard: completion rates by training type, department, and state; overdue list; trend over time
- Build using Docebo's API (1,000 calls/hour/IP) if Docebo is selected, or Wisetail data exports + Sheets if staying on current stack
People to meet
| Person | Questions to ask |
|---|---|
| Shlanda | What training metrics do you report to Brad? What would you check weekly vs. monthly? |
| Nickole | How long does it currently take you to produce a training completion report? What questions can you not answer today? |
PS-012: Administer Course Library
What this actually involves
Course library governance: what courses exist, how they're organized, who has access to what, content tagging, and access controls. This is platform-level admin work.
The Docebo implementation makes this a one-time setup task (configure the course structure) plus ongoing maintenance.
Concrete tasks
- Inventory the current Wisetail course library: how many courses, how they're organized, which are active vs. archived
- Plan the Docebo course structure with Nickole (categories, tags, access levels, compliance vs. optional)
- Define the content migration scope: what moves from Wisetail to Docebo, what stays, what gets retired
People to meet
| Person | Questions to ask |
|---|---|
| Nickole | How many courses are in Wisetail today? How are they organized? Which ones are actively used vs. stale? What would you change about the structure? |
